Using Recording and streaming

Live streaming to live.starleaf.com is an optional StarLeaf extra. If your organization does not have this feature, talk to your StarLeaf representative to enable it. Alternatively, you can use a third-party platform such as YouTube to stream your meeting.

About live streaming
Live streaming is a broadcast of a Spotlight meeting to
. Anyone can access the live broadcast through a unique version of this link that opens a page with an embedded video player.This feature is useful if you want allow a wide audience to view a live meeting, discussion, or company update.
If your organization has the recording solution enabled, you can set live streams to record. Recordings can be downloaded from the meeting organizer’s Portal after the stream has ended. For more information, see Recording.
How to schedule a live stream
Before you schedule a live stream, make sure that your organization has Spotlight and Live streaming enabled. Contact your organization admin or StarLeaf representative for more information.
Select a scheduler from below:
Office 365
Before you schedule a live stream with Office 365 (‘O365’), you must make sure you have installed the StarLeaf Scheduler for Office 365.
To schedule a live stream meeting:
- Click New event.
- Select the StarLeaf Scheduler icon in the event window:
- Turn on Spotlight mode.
- Turn on Live stream.
- Complete the other meeting details as you normally would.
- Click Send.
All invitees receive an email with the meeting details and link to the live stream.
Microsoft Outlook
Before you schedule a live stream from your Outlook calendar, you must first make sure that you have installed the StarLeaf Scheduler for Outlook Exchange Server.
To schedule a live stream meeting:
- Click the StarLeaf Scheduler icon in the top toolbar of your Outlook calendar:
- Select Edit:
- Tick the Spotlight box in the editing window.
- Tick Live Stream.
- Click Save.
- Complete the other meeting details as you normally would.
- Click Send.
All invitees receive an email with the meeting details and link to the live stream.
StarLeaf Portal
To schedule a live stream from the StarLeaf Portal:
- In your StarLeaf app, select the plus icon and New meeting.
- Complete the meeting detail fields.
- Select Advanced settings.
- Tick the box beside Spotlight.
- Tick the box beside Live stream.
- Select Apply. The Portal page updates.
- To view your live stream link, scroll to the bottom of the page to Dialing information. You can copy and share this link with anyone who you would like to view the live stream.

How to access the live stream
To watch a live stream of a meeting, select the live stream link that was sent to you by email or directly from the meeting organizer.
If you are the meeting organizer, you can find the live stream link in your Portal, as described above. You will also receive an email with a copy of the live stream link as shown below. Only meeting organizers receive this email but you can forward or share the email to your intended audience for the live broadcast:
All links to the live stream open a web page in your browser, and show a countdown until the start of the Spotlight meeting.
When it is the scheduled start time but the Spotlight meeting has not yet started, you will see a wait screen such as the one below.
The live stream only begins when the meeting organizer starts the Spotlight meeting by adding the presenter to spotlight.
Browser mute status
In some circumstances, you may notice that live streams are muted when you first open them in your browser.
Both Firefox and Chrome browsers mute audio and video streams by default as part of a security update so you may need to manually unmute the streams. After you unmute streams a few times, your browser should remember this choice and streams will eventually open unmuted by default.
Firefox autoplay limitation
If autoplay is disabled in your Firefox browser, the stream will not automatically start. Enable autoplay in your browser to allow StarLeaf streams to start upon clicking the streaming link.

Live streaming of a meeting stops when there are no participants left in the meeting. If there are still participants in the audience but no one in spotlight, the streaming will continue but will show the Waiting for your presenter to join screen.
It is normal for a live stream to be 30-60 seconds behind the actual meeting. In a situation where the meeting ends and all participants hang up instantly, this ends the live stream even though it may have 30 seconds or more still to play out due to the delay.
To avoid this, at the start of the meeting but before anyone begins to present or speak, the presenter can mute themselves for a minute which will give the stream time to play out at the end.
If you edit or update the details of a meeting with a live stream, the link remains the same as before.
In the case of a repeating Spotlight meeting, all meetings in the series will stream to the same link; the URL does not change.
