About invite templates

When you schedule a StarLeaf meeting, StarLeaf automatically generates text for the email invite, which includes instructions for joining the meeting:

You can customize this generated text, by using templates. Each site your organization has is configured with an individual invite template. For more information on sites, go to Sites.

Localization

Meeting invites created using the StarLeaf scheduler for O365 are localized according to the user language settings of the meeting organizer.

If your organization uses the StarLeaf Default template, the joining instructions are generated in the language set for that site.

Prerequisites

To customize meeting invites, your organization must have a StarLeaf Enterprise license.

How to choose an invite template

You can view and change the default text generated for invites, for a site, from your Admin Portal:

  1. Go to the Sites page.

  2. Click the icon in the row of the site which you want to view.
  3. Click Preview to see the text that will be generated by that template.

    • StarLeaf Default: a standard template generated by StarLeaf. This cannot be edited.
    • Custom: a template that you can customize. See How to edit a custom template for more information.
  4. Select the template you want to use for that site.
  5. Click Apply.

You can still edit the generated text of an invite when you create a meeting using the StarLeaf Scheduler, by typing in the text field of the invite as you normally would.

Non-default sites

When configuring a non-default site, you can choose to either have the same template as the default site, or a custom template for this specific site:

Selecting the Custom template generates the text from the StarLeaf Default template. You can edit this custom template by following the instructions in How to edit a custom template.

How to edit a custom template

To edit the invite text generated by the custom template of a site:

  1. Go to the Sites page on your Admin portal.

  2. Click the icon in the row of the site which you want to edit.
  3. Click Edit next to the Custom template.

  4. Make the edits you want in the Editor box. You can use the tags listed to populate the invite with the meeting’s unique joining details, such as the meeting ID.

  5. Click Update.
  6. Select Custom in the templates section.

  7. Click Apply.

You can still edit the generated text of an invite when you create a meeting using the StarLeaf Scheduler, by typing in the text field of the invite as you normally would.

How to reset a custom invite template

You can reset a custom invite template to the StarLeaf Default, from the Sites page on your Admin Portal:

  1. Click Edit next to the Custom template.

  2. Click Reset on the Edit Page.

  3. Select Reset on the confirmation box.

  4. Click Update.

The custom template now generates the text from the StarLeaf Default template. You can edit the custom template by following the steps in How to edit a custom template.
